This privacy policy explains how My Tutor Hour collects and uses personal information when you visit mytutorhour.com, contact us, comment on our articles or write for us. We aim to collect as little personal information as possible.

Who we are

My Tutor Hour is published by The Whole World Window Ltd, a limited company registered in England & Wales (Company Registration No. 06988669). Our registered office is 5th Floor, 167–169 Great Portland Street, London, W1W 5PF.

The Whole World Window Ltd is the “data controller” for the personal information described in this policy. This means we decide how and why it is used, and we are responsible for looking after it under UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect and why

When you contact us

If you use our contact form, we collect your name, email address and the content of your message. The form sends your message to our email inbox. We use this information only to read and reply to your message, and to keep a record of our correspondence.

Legal basis: our legitimate interest in responding to enquiries, or taking steps at your request before entering into an agreement (for example, if you are pitching an article).

When you comment on an article

If you leave a comment, we collect the name, email address and any website you enter, together with your comment, your IP address and your browser’s user agent string. We use this to publish your comment, to help detect spam and to contact you about your comment if necessary. Your name, website and comment are shown publicly; your email address and IP address are not.

We use a spam filter called Antispam Bee, which checks comments on our own server and does not send your data to an outside spam-checking service.

If you have a Gravatar profile, an anonymised string created from your email address (a “hash”) may be sent to the Gravatar service, run by Automattic Inc., to show your profile picture next to your comment. You can read the Gravatar privacy policy.

If you write for us

If you become a contributor, we will create a user account with your name and email address, and we publish your name and a short biography alongside your articles. We use your details to manage your account, communicate with you about your articles and credit your work.

When you browse the site

Like most websites, our web server automatically records technical information such as your IP address, browser type and the pages you request. These server logs are kept by our hosting provider for security and to keep the site running properly.

We do not use analytics, advertising or tracking tools, and we do not build profiles of our visitors.

To protect our login page, our security software records the IP address of anyone who repeatedly enters the wrong password.

Cookies

We only use cookies that are needed for the site to work, for example to remember your cookie preferences or to keep authors logged in. For full details, see our Cookie Policy. If we ever add cookies that are not essential, such as analytics, we will ask for your consent first.

Embedded content from other websites

Articles may sometimes include embedded content such as videos or images from other websites. Embedded content behaves in the same way as if you had visited the other website, which may collect data about you. Where we embed such content, we will ask for your consent through our cookie banner before it loads.

Who we share your information with

We do not sell your personal information or share it for marketing. We only share it with:

  • Our hosting provider, which stores our website, its database, backups and our email on its servers;
  • Gravatar, as described above, if you comment; and
  • authorities or professional advisers, where the law requires it or to protect our legal rights.

Some of our service providers may process data outside the UK. Where this happens, we take steps to ensure your information is protected to the standard required by UK data protection law.

How long we keep your information

  • Contact messages: for as long as needed to deal with your enquiry, and normally no longer than two years afterwards.
  • Comments: for as long as the comment is published on the site. You can ask us to remove your comment at any time.
  • Contributor accounts: for as long as you write for us, and for a reasonable period afterwards so that your published articles remain correctly credited.
  • Server and security logs and backups: for a limited period set by our hosting and security tools, after which they are deleted or overwritten.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to us using your information on the basis of legitimate interests; and
  • ask us to transfer your information to another organisation, where this applies.

To exercise any of these rights, email admin@mytutorhour.com. We will respond within one month. There is normally no charge.

If you are unhappy with how we have handled your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.

Security

We take reasonable steps to protect your information, including using encrypted (HTTPS) connections for the whole site, limiting access to our systems, keeping our software up to date, limiting login attempts and keeping backups. No website can be completely secure, however, so please avoid sending us sensitive information through the contact form.

Children

My Tutor Hour is written for adults, such as teachers, tutors, parents and researchers. We do not knowingly collect personal information from children under 13. If you believe a child has sent us their information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page.
